Exhibitor Policies

Thank you for registering as an exhibitor at ArtsMarket 2024! Below you will find helpful information regarding exhibiting. Your booth assignment will be emailed to you the week following the registration closing date of September 12.

Booth Display 

  • All signs, displays, and other promotional materials must be no taller than 8’ in height and may
    not interfere with or obstruct other exhibit spaces. Exhibits may not extend past booth boundaries. 

  • No signs, displays, or banners may be placed outside the interior of the booth, including all areas of the Durham Convention Center, the Durham Marriott City Center, and the Carolina Theatre. Occupants of aisle-end booths may not presume use of the booth’s aisle-exterior wall for their own additional display. 

  • Audiovisual equipment used for demonstration/playback purposes must be muted or used with headphones. Use of A/V equipment without headphones is prohibited. 

  • Electricity will not be available at your booth. Please make sure to charge any electronic devices prior to exhibit hall hours.

  • Exhibitors may display musical instruments but may not play them during exhibit hall hours. 

  • Live performances are prohibited in the exhibit hall. 

  • Candles and open flame devices are prohibited in any conference space or venue. The use and display of compressed gasses, flammable liquids, or dangerous chemicals is also prohibited. 


Exhibiting at ArtsMarket

  • Exhibitors will be allowed to enter the exhibit hall 15 minutes before each exhibit hall session. 

  • No person will be permitted into the exhibit hall at any time without proper conference
    credentials. 

  • Showcasing artists who are represented by an agent or manager may enter the exhibit hall on the day of (or day after if they showcase the night before) their showcase and need to remain at their booth. 

  • An artist pass will be required and can be obtained at the registration table. Artists who need to make alternate arrangements for their exhibit hall time must contact the Registration Coordinator by October 18th.

  • Each booth must be staffed by at least one registered representative at all times. 

  • Set-up and tear-down while the exhibit hall is still open for business is strongly discouraged. 

  • Please respect your colleagues and plan accordingly. 

  • No “selling” organization is permitted to do business at ArtsMarket without having registered for  
    the conference. 

Independent Showcases

ArtsMarket does not facilitate independent showcases.
Independent showcases are prohibited from being arranged or scheduled at any time concurrent with official conference activities, and are not permitted in any space on the Carolina Theatre, Durham Marriott or Durham Convention Center premises at any time during the three days of the conference. 

Food & Beverage

The Durham Convention Center retains the exclusive right to provide and control all food and beverage services in the building. Outside food is not allowed. 

Security/Liability

Exhibitors are responsible for the security of their own valuables, including equipment. The exhibit hall doors will be locked when the hall is not open. The exhibitor agrees to indemnify and hold harmless the Durham Convention Center, The Carolina Theatre, the NC Presenters Consortium, and the NC Arts Council from any and all claims, losses, expenses, theft, damage, and injuries to persons resulting from any act, omission, or negligence on the part of the exhibitor. The exhibitor is responsible for any damage to convention center property in the exhibit hall.


Cancellation/Refunds

Requests for refunds on or before Monday, September 23, 2024 will be honored, less a 30% processing fee. Such requests must be made in writing to Cathy Gouge at ncpcdirector@ncpresenters.org
No refunds will be available for exhibitors after September 23, 2024.

General

The NC Presenters Consortium and NC Arts Council reserve the right to prohibit any exhibit or portion of an exhibit that is deemed unacceptable. Exhibitors who refuse to comply with the Exhibitor Policies and Conference Policies may be removed from the ArtsMarket conference at the conference leadership’s discretion with no refunds.

Durham Convention Center Loading/Unloading Info 

Exhibitors who are driving and have a lot of materials to unload are encouraged to use the DCC loading dock on E. Chapel Hill Street (look for the A-Frame signs). Please pull inside the large garage door - do not park on the street.  There is a circular drive inside the dock with room for only 3-4 vehicles at one time, so no long-term parking is allowed. Volunteers will be available to assist you with unloading. Please drop off your equipment and materials at your table, return quickly to your vehicle, and exit the loading dock. Your cooperation will help tremendously with the smooth flow of traffic. You are not required to have signed in at the Registration Table prior to unloading through the dock. 

Once you’re finished unloading, you may park your vehicle at one of the city parking decks nearby. The most convenient is the Durham Centre Parking Garage on 300 W. Morgan Street (directly across from DCC main entrance and Carolina Theatre).

Parking: The Durham Center Parking Garage is located at 300 Morgan Street. The normal rate is $2.24 per hour with a max of $24.75 per day. We will have pre-paid daily discount parking stickers that are to be affixed to the issued parking ticket for $7. The $7 (per day needed) must be paid in advance as part of registration.
