2025 ArtsMarket Conference Policies

The following policies apply to every aspect of the registrant’s participation in the ArtsMarket conference. Attendees who are not in compliance with the conference policies, and do not comply when asked to do so by conference staff, may be removed from ArtsMarket at conference leadership’s discretion with no refunds.

Standards of Behavior

ArtsMarket and the NC Presenters Consortium adhere to the ethical guidelines set forth by the North American Performing Arts Managers and Agents (NAPAMA) at https://www.napama.org/codeofethics/, and expect all conference attendees to do the same. 

To ensure a professional and collegial conference, ArtsMarket has also established the following standards of behavior:

All registrants are expected to conduct business only with other registered attendees. 

Exhibitors should not solicit presenters outside of their designated exhibitor booth or table space—including exhibit hall aisles, hallways, and common spaces. 

Conversations and meetings in the exhibit hall should not be interrupted.

Mobile devices should be set to silent mode and conference attendees should refrain from receiving and placing calls during conference events and programs.

Conference participants are expected to exhibit professionalism, exemplary audience behavior, and respect for the artists during showcases. This includes minimizing conversation, entering and exiting the theater during breaks, and refraining from cell phone and computer use during performances. 

ArtsMarket is committed to providing a harassment-free conference for everyone, regardless of gender identity and expression, sexual orientation, disability, race, ethnicity, age, religion, political affiliation, or physical appearance. ArtsMarket and the NC Presenters Consortium do not tolerate harassment of conference participants or staff in any form. Conference participants violating these rules may be sanctioned or expelled from the conference without a refund at the discretion of the conference organizers. If you are being harassed, notice that someone else is being harassed, or have any other concerns, please contact a member of the conference staff and you will be provided a safe space to make your report. You may also contact theater, hotel, or convention center staff and ask to be put in touch with the conference coordinator Sharon Moore at 919-818-6419.

Accessibility

All ArtsMarket venues are ADA compliant. If additional formats, auxiliary aids, or services are necessary for all individuals to participate in the conference, requests should be submitted at the time of registration or at least two weeks in advance of the conference.

Cancellation/Refunds

Exhibitors/Exhibitor Delegates Cancellation/Refunds Dates and Information:
Requests for refunds on or before Wednesday, October 1, 2025 will be honored, less a 30% processing fee. Such requests must be made in writing. No refunds will be available for exhibitors after Wednesday, October 1, 2025

Presenters Cancellation/Refunds Dates and Information:
Requests for refunds on or before Thursday, October 16, 2025 will be honored, less a 30% processing fee. Such requests must be made in writing. No refunds will be available for presenters after Thursday, October 16, 2025.

Showcase Artists (Live, Virtual, and TYA) Cancellation/Refunds Dates and Information:
Showcase cancellation and requests for production fee and/or exhibit table refunds on or before Friday, September 19, 2025 will be honored, less a 30% processing fee. Such requests must be made in writing. No refunds will be available for showcase artists after Friday, September 19, 2025.

Independent Showcases

ArtsMarket does not facilitate independent showcases. Independent showcases are prohibited from being arranged or scheduled at any time concurrent with official conference activities, and are not permitted in any space on the Carolina Theatre, Durham Marriott or Durham Convention Center premises at any time during the three days of the conference.

Security/Liability

Conference attendees are responsible for the security of their own valuables, including equipment. The exhibit hall doors will be locked when the hall is not open. Registrants agree to indemnify and hold harmless the Durham Convention Center, The Carolina Theatre, the NC Arts Council, and the NC Presenters Consortium and its contractors, employees, board of directors, volunteers and agents from any and all claims, losses, expenses, theft, damage, and injuries to persons resulting from any act, omission, or negligence on the part of the registrant.

General

Registrants understand that ArtsMarket makes no guarantees of any kind with regard to attendance at the conference.

Registrant gives ArtsMarket permission to photograph and video/audio record conference attendees and to use the same in ArtsMarket and NC Presenters Consortium’s publications, promotions, and other media. Registrant understands that ArtsMarket has exclusive rights to these visual and audio recordings.

No weapons of any kind are allowed at the ArtsMarket conference or any of the conference facilities or events.
